Summary of responsibilities…

To support the HR Manager with administration and coordination of the recruitment and selection processes, ensuring appointments are made in a timely and efficient manner and all appropriate checks have been made to satisfy Regulatory Standards. Responsible for producing monthly HR metrics. To support HR with managing job vacancies and interested candidates. Responsible for maintaining job vacancies on the website and candidates applying via the website.

Duties include

  • Maintaining and ensuring that job applications are forwarded to the relevant manager
  • Follow up with the recruiting manager where necessary to ensure that there are no delays in the process from application to interview
  • Support with communicating with candidates via phone and email prior to interview and dealing with any queries that arise
  • Follow up with candidates re incomplete application forms
  • Posting job vacancies on website, social media websites
  • Responsible for the Recruitment inbox
  • Inputting absence details from return to work forms and fit notes, ensuring all information is passed to payroll
  • Produce monthly HR metrics – absence stats, staff turnover stats and retention report by the 5th of the month
  • Ensure job descriptions and person specifications are up to date
  • Ensure that shortlisting takes place within the given timescale following the closing date and invite shortlisted candidates to the selection process
  • Collate all the appropriate documentation prior to interview/selection and send to the interview panel
  • Attend selection processes to support the service where appropriate
  • Produce offer letters and associated documentation, ensuring recruitment checks are carried out, including checking gaps in employment, eligibility to live and work in the UK, satisfactory references and DBS check
  • Coordinate start dates for new employees once all checks have been undertaken and produce appropriate documentation
  • Producing Terms and Conditions of Employment (from templates) for all staff and any amendments to an employee’s terms and conditions of employment during the course of employment
  • Producing HR staff files as per standard requirements and for ensuring that records are kept up to date and filed as per the agreed protocol
  • Responsible for maintaining and regularly updating the HR database and the establishment list in line with any contract changes made or new starters/leavers
  • Type correspondence and other material as required for the Senior Management team
  • Note taker for Disciplinary/Grievances and another Management meetings when required
  • Support the HR Manager with project work when required
